This question has probably already been answered, Does EB automatically add sales of posteres from Ebay or does an individual need to report it?

If it's not auto (which I doubt it is) whom would one report a sale to?
Is it cool to report a sale that you are not invloved in if you notice that it has not been uploaded to EB sales info?

Thanks

All Ebay auction information on EB has been added at the hands of users and a good portion by users who are EB Team members.
If you note an auction that isn't being tracked (if it's still pending) or recorded (if the auction is over), then any EB user can submit the Ebay listing. Just find the print that's being sold and head to the "For Sale or Trade" page for that listing. At the bottom is a box to add in the action # from Ebay - then submit it. All entries by non-Team members have to be verified by one of the volunteer staff here (just for verification) and then they'll be tracked and recorded.

If you're not part of a sale (as in a sale between two traders, not on Ebay), you can submit a sale BUT it's best if you're either the buyer or seller - you can do this thru steps on your own For Sale or Trade account page. if you're not part of the sale, it's a bit "trickier" since you weren't actually part of the deal and any sales are a sort of hearsay.

Is this always the case? I noticed that some of my entries have said "pending approval", but most of them appeared to have been immediately added to the price history.

There is a system in place that governs the need for approval - part of the sales history programming. It does make only a portion of the submitted sales require approval, hence some sales are added immediately, some get looked a bit more closely at (and no, it's not a "random check" - there is a method to the madness).
